Education Summit & Expo Conference Rescheduled
March 27, 2020 

ASBO New York continues to monitor the rapidly changing situation related to the spread of COVID-19 for our school districts and for our own events. We understand that concerns for public health, among other issues, are affecting our members. Our main priority is the health and safety of our association community. We have made the difficult decision to postpone our Annual Education Summit & Expo, originally scheduled for May 31-June 3, 2020 in Saratoga Springs. The conference will be rescheduled for November 15-18, 2020 in Saratoga Springs and combined with the SBMW. The Expo trade show will be moved to the November conference along with programming and special events. This will come with challenges and opportunities to maintain and enhance the attendee and vendor experience, but ASBO is committed to making a superb conference meeting the needs of all of our members. These unprecedented times call for preparations for unprecedented events. 

As we form a more concrete plan for the new conference, ASBO staff will be contacting each stakeholder group regarding the rescheduling of the conference and the options therein. Thank you for your understanding.

We understand those who had hotel reservations at the Saratoga Hilton may have received a notice from them - we apologize for you receiving that notification prior to an announcement from us. That was sent prior to our final decision to cancel. 

Please note, the SBO Leadership Academy sessions originally planned for May 30-31 will be moved to an online course format.

These kinds of decisions are never easy to make. Thank you to the ASBO board, all of our volunteer chairs, committees, and speakers for your leadership, flexibility, and support.

A Letter from ASBO's Executive Director

March 20, 2020

Good afternoon ASBO Members,

First, I want to commend all of you for the work you do to keep our schools and BOCES running. Although mostly unseen to the public, the critical role of the school business office in complying with all the Executive Orders, closure requirements, and deadlines, is key to the success of school districts and BOCES in fulfilling their educational missions. This week there have been inspiring stories from across the state of school districts going above and beyond for their communities, and I’m incredibly proud of the work you have been doing.

Additionally, I would like to take this opportunity to let you know that the ASBO staff, although working from home, is here to support you as you carry out your responsibilities during these difficult and unpredictable times.

Like many of you, ASBO staff are available to answer questions by either email or phone (please leave a voicemail, which generates an email) and we will do our best to get you the answers you need in a timely manner given the limitations we are operating under. ASBO remains in constant contact with state policymakers and other educational organizations on a variety of issues of concern to the education community.

ASBO is also switching all of our remaining Accounting and FMAA workshops to distance learning formats so you can continue to receive the CTLE and CPE credits you need to remain certified.

Important information for ASBO New York Members regarding COVID-19 (March 13, 2020 Update)

This week the global spread of COVID-19 reached a critical pace, spurring additional travel restrictions, quarantine measures, and cancellations of major events in New York State and beyond. Effective immediately, ASBO is implementing safety precautions to ensure the health and well-being of our staff, members, event attendees, and industry partners. Our committee meetings will be transitioned to virtual Zoom conferences and our in-person events for the remainder of March will be postponed or alternatively offered in an online course format. This includes our upcoming Accounting 3 workshops in Rochester, Albany, and Long Island as well as Risk Management 2.0 scheduled in Albany for the end of March. Registrants will be notified within the next couple of days of their options for receiving their continuing education programming. 

We will continue to work with our volunteer teams and staff to find creative solutions to bring you continued valuable programming and member benefits. Discussions are happening now regarding our scheduled events beyond April, including our FMAA workshops and Education Summit. FMAA is scheduled for early May and already has a livestream option available. We still plan to offer that remote learning option, with the unknown being the in-person workshops. Education Summit & Expo is May 31-June 3 with SBO Leadership Academy commencing on May 30. As of right now, we are hopeful the travel ban will be lifted and we can hold our conference as planned. A decision will be made by May 1 whether the conference will be hosted in an alternate format, postponed, or held as planned. As the situation continues to unfold, we will continue to communicate and update you on all of our programming decisions.

Important information for ASBO New York Members regarding COVID-19 (March 11, 2020)

ASBO New York continues to monitor the rapidly changing situation related to the spread of COVID-19 for our school districts and for our own events. We understand that concerns for health, safety, and the impact on meeting attendance, among other issues, are affecting our members. Our main priority is the health and safety of our association community. At all ASBO New York events, we commit to working with our venues to ensure that all appropriate sanitary, health, and safety measures are met, and encourage attendees to follow guidelines recommended by the Centers for Disease Control and Prevention and the World Health Organization.
 
At this time, there are no advisories against holding public events in cities where our upcoming workshops are scheduled to be held (Rochester, Wheatley Heights, and Albany). According to the National Center for Immunization and Respiratory Diseases at the Centers for Disease Control and Prevention, guidance offered regarding attendance at large gatherings is limited to those at highest risk -- the elderly and those with underlying health issues. Absent federal travel restrictions and/or local, state, or regional decisions to close venues, ASBO does not plan to cancel or postpone its events and/or meetings as of now. ASBO will make special considerations for those members whose school districts or BOCES close on the day of or the day prior to a workshop. Should the BOCES where the workshop is being held OR five school districts within a 25 mile radius of the workshop location are closed on the day of the event, ASBO New York will cancel/postpone the workshop. If there is a cancellation, you will be notified on your district/BOCES email by 7 am on the date of the workshop. 

ASBO is taking the following precautionary measures for our upcoming workshops: 

  • Elimination of food buffets with communal serving utensils. We are looking at options for boxed lunches. Breakfasts will be limited to granola bar/yogurt type prepackaged items. We will have boxes of coffee, but if attendees wish to bring their own coffee, please feel free to do so.
  • Inclusion of a hand sanitizer station at the event entrance and food stations.
  • Signage encouraging proper handwashing technique.
  • Avoiding hugs or handshakes; we encourage everyone to come up with alternate, zero-contact greetings. 

As the situation develops, we will continue to update and provide necessary information to our members. 

Temporary Cancellation Policy (March 11, 2020 - May 1, 2020)

An attendee whose district or BOCES closes one day prior to the day of an ASBO New York event may cancel with full refund. Notify ASBO within 24 hours of the cancellation to receive full refund or credit toward a future workshop. Any member who is under mandatory quarantine may receive a full refund upon cancellation with documentation. 

Should the BOCES where the workshop is being held OR five school districts within a 25 mile radius of the workshop location close on the day of the event, ASBO New York will cancel/postpone the workshop. If there is a cancellation, you will be notified on your district/BOCES email by 7 am on the date of the workshop.
